We are looking for a Program Coordinator who is passionate about climate action, event development, and sustainability innovation. You will play a key role in supporting the successful delivery of the Climate Change Summit (CCS) and the CCS Awards — two of the most impactful regional platforms advancing sustainable development and climate dialogue in Central and Eastern Europe.

This mid-level role works closely with the Head of Event Operations and teams across content, partnerships, communications, and logistics.

Climate Change Summit (CCS): An annual event in Bucharest that brings together leaders from business, government, and civil society in conversations about climate change solutions, green economy opportunities and climate action.

CCS Awards: A competition spotlighting and celebrating innovative and practical solutions to climate challenges submitted by young people (under 30), NGOs and small and medium-sized enterprises in Central and Eastern Europe (Bulgaria, Croatia, Greece, Hungary, Romania, Serbia, Slovenia, and the Republic of Moldova).

Your Responsibilities

Cross-Team Collaboration

  • Work with the Head of Event Operations on planning and execution of CCS and CCS Awards events (logistics, timelines, budgeting, task management).

  • Contribute to coordination across content, speaker, logistics, and communications teams by ensuring timely updates, accurate documentation, and support on shared deliverables.

  • Participate in internal syncs, flag potential risks or scheduling overlaps, and assist in maintaining up-to-date information across teams.

  • Serve as day-to-day point of contact for internal teams, external collaborators, vendors, and event partners.

  • Track deliverables, ensure deadlines are met, and support seamless implementation of all event components.

  • Contribute to the post-event impact and sustainability reports. 

Climate Change Summit Awards

  • Lead the full planning and implementation of the CCS Awards, including competition framework, timeline, and strategy.

  • Coordinate submission collection, data organization, and jury evaluation processes.

  • Maintain communications with jury members, applicants, partners, and nominees.

  • Oversee the delivery of all necessary Awards-related content — including jury bios, submission forms, finalist details, and timelines — to the communications team, ensuring accuracy and consistency across all communication platforms.

  • Develop an outreach strategy to promote submissions in Romania and CEE.

  • Support and structure jury deliberation sessions, ensuring fair and transparent evaluation.

  • Oversee the event planning for the CCS Awards Gala — including venue setup, stage coordination, and technical flow.

  • Collaborate with production and comms teams to ensure alignment with CCS branding and partner visibility.

  • Track and analyze participation data (e.g., diversity, reach, engagement) and contribute to the post-awards report.

Climate Change Summit - community events 

Together with our partners, we bring climate action messages right into the heart of communities. Through workshops, talks, and guided park tours, we organize engaging local events that inspire awareness and action.

  • Coordinate the planning and partner engagement for all CCS side events, ensuring alignment with the main summit agenda

  • Act as the main point of contact for side event hosts, providing guidance and all the necessary information

  • Collaborate with the CCS content team for scheduling CCS international speakers’ intervention in side events

  • Collaborate with the communications team to integrate side events into the public agenda and event platform.

Who we are looking for:

Requirements:

  • Experience: 2-4 years in project coordination, events development, or similar fields. Corporate experience is a plus.

  • Educational background: Bachelor’s degree in Project Management, Business Administration, Communications or Public Relations, Sustainability, or a related field.

  • Technical aptitude: Tech-savvy and used to working with digital platforms (Microsoft 365, G-suite, Slack) and a willingness to learn new tools.

  • Communication skills: Clear, thoughtful, and effective communicator in both Romanian and English.

  • Excellent organizational and communication skills in both English and Romanian

  • Ability to manage multiple deadlines and tasks independently

  • Strong attention to detail and process management, proactive and with an entrepreneurial mindset

  • Location & Availability: based in Bucharest, ready to start in May/ early June 2025.
